Records and Notes in Therapeutic Practice: Ethical, Clinical and Legal Aspects

Course Overview: This two-day interactive online training provides counsellors and psychotherapists with essential knowledge and practical skills in clinical record-keeping. Participants will explore the ethical, clinical and legal frameworks that underpin professional documentation and will gain confidence in maintaining high-quality records that support good practice, client safety and regulatory compliance.

Key areas include the purpose and function of notes, distinctions between progress notes, process notes and formal reports, data protection and Irish legal requirements, as well as best practice in recording risk, safeguarding issues and complex disclosures. A dedicated session introduces AI-assisted note-taking tools, with guidance on benefits, risks and data protection safeguards.

Learning Outcomes: By the end of the course, participants will be able to:

· Understand and apply ethical principles in clinical documentation

· Distinguish between different types of notes and records and use them appropriately

· Comply with Irish legislation including GDPR, Freedom of Information Act, Mental Health Act and Children First Act

· Document high-risk situations, safeguarding issues and legal disclosures clearly and defensibly

· Use supervision to reflect on and improve record-keeping practice

· Evaluate AI-assisted documentation tools and integrate them responsibly into clinical practice

Trainer: Dr Alvina Grosu is a Chartered Psychologist, Lecturer and Clinical Supervisor with over 25 years’ experience in clinical work and teaching in Ireland and internationally. She was the founding chair of the PSI Special Interest Group in Clinical Supervision and teaches on Master’s programmes in Counselling and Psychotherapy. The course content represents a

practical synthesis of her Master’s dissertation in Clinical Supervision on “Records and Notes in Clinical Practice”, combined with extensive experience delivering training for health, education, and voluntary sectors.
